We are pleased to announce an opportunity for an Administrative Assistant to join us, supporting our team of Financial Advisors. This position requires strict attention to detail with an energetic, highly motivated approach to assume the following responsibilities:

  • Develop an understanding of the wealth management industry with familiarity of our firm, service offerings, clients and client industries.
  • Interact with clients and vendors by phone, email and in person to answer questions, gather information, and schedule meetings.
  • Review, assemble and send client final work product; complete and track new account applications.
  • Handle case notes (Copy Talk), process correspondence, and maintain client case files. File new statements, account forms and other insurance/investment -related materials.
  • Maintain Advisors' calendars and schedule follow-up appointments. Answer telephone calls and direct them as appropriate.
  • Input data, print proposals and gather information at direction of financial representative in preparation for client/prospect meeting.
  • Prepare/print letters of instruction for client signature.
  • Prepare policies for delivery.
  • Review insurance applications and other paperwork for completeness and accuracy and return to representative for any missing information.
  • Arrange medical, paramedical and any exams necessary for underwriting.
  • Maintain follow-up systems for pending client issues.
  • Maintain a Client Relationship Management (CRM) data base
  • Enter data into planning software

Qualifications:

  • 3-5 years administrative experience
  • Excellent oral and written communication skills. Strong organizational ability.
  • Strict attention to detail with the ability to work with a high degree of accuracy.
  • Ability to prioritize projects and complete them independently
  • Experience in administrative support or customer service, preferably in the financial services and/or insurance industry.
  • Health and life licensed or gain licensing within 6 months of employment.
  • Ability to work in a fast-paced environment, both independently and in a team.
